Standard audio-visual equipment will be set in each room and will remain set throughout the duration of the conference. ATC reserves the right to pre-set symposia rooms with audio visual equipment. Included equipment cannot be moved or dismantled without approval from ATC.

Classroom-style seating unless otherwise communicated to the hotel contact and ATC staff (additional fees may apply).

Sponsors will have access to the meeting room one (1) hour prior to the start of the Symposia. 

One (1) registration table with (2) two chairs will be placed outside of the meeting room.

Livestreaming Package includes 1 RTMP stream for up to eight (8) hours. 


Equipment includes:

  • Wired internet connection up to 5Mbsp
  • 1 HD Camera (unmanned) positioned to capture either the podium, head table, or both
  • 1 standard projection package
  • Audio package including one (1) podium microphone, up to three (3) wireless lavaliere microphones, and one (1) audience Q&A microphone 
  • Presentation laptop 
  • 1 stream encoder to provide a combined presentation/video RTMP feed. Ratio is 70% presentation, 30% presenter video
  • You will have the option to provide a custom background image; ATC logos may not be used. Encore to provide resolution and template specification for Sponsor to create their own 70/30 Backplate. Can be created in PowerPoint;  16:9;  Should be 1920 x 1080 and ideally .PNG although .JPG will do as well. No transparency.

  • Package also includes one (1) AV technician dedicated to your session for the streaming


Support provided:

  • Information sheet on provided stream including bitrate, quality and format. Once your order has been confirming, an Encore Web Specialist will coordinate on RTMP stream key information with you. The stream rate is a 1080p H.264 .mp4 output format. 
  • One (1) half-hour test stream on Saturday, June 1. 
  • MP4 recording provided by file transfer within two (2) days of live session; no editing.


Not Included:

  • Registration management and/or virtual participant tracking
  • Viewing platform or website. Symposium sponsor is responsible for delivery of livestream to users
  • Customer support for livestream attendees
  • Polling, Q&A or audience engagement tools
  • Two-way communication during session


Additional Requirements

  • Virtual and in-person attendees must be notified that the event is being recorded, and that their comments or questions, in-person or virtual, may be part of the recording
  • AV elements of the package may not be substituted or removed

The following language must appear on all materials produced in association with the symposium, including emails, websites, flyers, marketing/advertising, enduring products, post meeting materials, and articles intended to be published after ATC: 


“This symposium is not part of the ATC official educational program and the sessions and content are not endorsed by ATC. “ 


Marketing and Promotional Materials Guidelines

ALL marketing and printed material related to the symposium must be receipt of a written authorization from ATC prior to final production and distribution. PDF files may be submitted via email for this purpose and are preferred. Review and approval by ATC will be within an appropriate timeframe, but not less than three business days. 


The names, logos, and acronyms of the American Transplant Congress, American Society of Transplant Surgeons, and the American Society of Transplantation are the exclusive property of each society. They may not be used in any way, for any purpose, or any time without the express written permission and approval of the ATC and the individual society.  It is not acceptable and is prohibited to use “at the ATC” or “in conjunction with the ATC” or “during the ATC”.

Lead retrieval scanners are available to track attendee information as attendees enter your symposia. ATC will provide (3) complimentary full-featured lead retrieval system running, large screen Android devices. Please see the link below to rent additional scanners. 


More information on picking up your complimentary lead retrieval devices and how you will download the leads will be sent out to the main contact for each company.

Signage provided by your company can be placed inside your meeting room.  ATC will provide signage listing all approved Symposiums. Information for this signage will be taken from the completed Online Event Write-Up link.
